Collection Agency Tips for Memphis Businesses

Before contacting a delinquent customer to discuss payment, it is important to gather all the information relating to the debt including copies of past due invoices, purchase orders, credit memos, proofs of delivery, shipping instructions, the signed contract, applied and unapplied checks, details of disputed items, and any email threads relating to the debt.  The debt collector should also look carefully at recent payment history as well as any published trade organization payment information for the debtor. Analyze the debtor’s financial data, and make sure the customer’s financial data on file is up to date.  Scrutiny of the debtor’s finances may provide the collector with helpful insight as to why the customer is not paying, and this insight may be useful when the collector is discussing the delinquency with the debtor.

Phone contact is the most effective way to get the debt collection process going.  With all the relevant information at hand, the debt collector should call the person at the company who is authorized to make payments.  It is imperative that the collector approach the debt collection with the goal of collecting the full amount owed.  Try to avoid small talk and get the customer talking about the reason for the delinquency.  The debt collector must be a good listener, but also keep the discussion on point.  If the customer makes a promise, be sure to follow-up on the exact day the promise was to be fulfilled.  Keep following up until payment is received.
