A good credit application collects extensive contact information on your customer. If things go south, this information can be extremely helpful for a debt collector or attorney. It can even help your in-house collection staff if you get multiple ways to contact a small business owner and get multiple contact names at larger organizations. Banking information, trade references, ownership information and entity structure and history are other common categories.
Collecting the information is a good first step. but the real value comes from analyzing the information. If nothing else, just confirming the information is accurate is important and can be done in just a few minutes. We explain how to use five free resources to validate most of the information on a credit application in this article in our resource center. If during this analysis you determine some of the information is inaccurate or misleading, you can prevent a collection problem before it happens.
The credit application can also be used to establish the legal terms of your business relationship with your customer. For example, in the U.S. you do not get attorney fees when you win a lawsuit unless there is a provision for this in a signed contract. Just having this as a term on the back of your invoice is not sufficient. So, if you want to have the legal right to make your customer pay for collection costs or attorney fees, then have this language on your credit application.
